Privacy Policy

1. Who We Are

Evolve HOA (“Evolve,” “we,” “us,” or “our”) operates the platform at evolvehoa.com(the “Service”). The Service is a multi-tenant SaaS platform enabling homeowner associations (“HOAs”) to manage fines, dues, communications, voting, documents, and vendor requests.

2. Information We Collect

Information you provide directly:

  • Account registration data: name, email address, role
  • Homeowner roster data entered by HOA officers: names, mailing addresses, email addresses
  • Payment information processed through Stripe (we do not store card numbers)
  • Content you submit: fine descriptions, communications, documents, vote options, RFP details, architectural requests
  • Photos uploaded as evidence for fines or architectural requests

Information collected automatically:

  • Log data: IP addresses, browser type, pages visited, timestamps
  • Session tokens managed through Supabase Auth
  • Audit logs of administrative actions taken within the platform

3. How We Use Your Information

  • Provide, operate, and maintain the Service
  • Process payments and send receipts via Stripe
  • Enable HOA officers to manage their community and communicate with homeowners
  • Authenticate users and maintain session security
  • Respond to support inquiries
  • Comply with legal obligations

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Multi-Tenant Data Isolation

Each HOA account (“tenant”) operates in a logically isolated environment. Data belonging to one HOA is not accessible to officers, homeowners, or administrators of another HOA. Row-level security policies enforced in the database ensure this isolation. Only Evolve HOA platform administrators with the super_admin role can access data across tenants for support and billing purposes.

5. Payment Processing

All payment card data is handled by Stripe, Inc. under their Privacy Policy. We receive only tokenized payment references and high-level status from Stripe. HOA dues and fine payments collected through Stripe Connect are transferred directly to the HOA’s connected Stripe account; Evolve HOA receives a convenience fee.

6. Data Retention

We retain account data for the duration of the active subscription and for one (1) year following account cancellation, after which it is deleted. You may request earlier deletion by contacting us at support@evolvehoa.com. Stripe retains payment records in accordance with their own retention policies and applicable law.

7. Data Security

We implement commercially reasonable technical and organizational measures to protect your data, including encrypted connections (TLS), access controls, and row-level security at the database layer (Supabase). No method of transmission over the Internet is 100% secure; we cannot guarantee absolute security.

8. Third-Party Services

The Service integrates with the following third-party providers:

  • Supabase — database, authentication, and file storage
  • Stripe — payment processing and Connect payouts
  • Vercel — hosting and edge delivery

Each provider operates under its own privacy policy. We encourage you to review them.

9. Cookies and Tracking

We use session cookies required for authentication. We do not use advertising cookies, cross-site tracking pixels, or third-party analytics that share data with advertisers.

10. Children’s Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us immediately.

11. Your Rights

Depending on your location, you may have the right to:

  • Access or receive a copy of the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal holds)
  • Object to or restrict certain processing

12. Governing Law

This Privacy Policy is governed by the laws of the State of Ohio, without regard to its conflict-of-law principles.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by updating the effective date above and, where feasible, by email notification to registered account holders. Continued use of the Service after changes constitutes acceptance.
